Before

Check the club constitution and any existing athlete-support policy.
Write to the committee with the selection letter and a budget.
Offer something back (coaching juniors, a talk, club kit at the event).
Ask for a fixed contribution, paid to the supplier (flights, entry) where possible.

After

Report back to the club after the trip.
Bank the money and record it in the books.
Thank donors, sponsors and helpers, by name where they’re happy with that.

Watch out for

Favouritism complaints if there's no consistent policy.

Check the club's rules allow it: societies and charities must avoid private pecuniary benefit to members. A written athlete-support policy is safer; grant money usually cannot be passed to individuals.
