Sponsored tree-planting day: checklist

Before

Get council permission to use the public space.The rules
Get the landowner’s permission in writing.
Ask the council whether you need a permit.The rules
Prepare a formal health and safety plan for the council or landowner.The rules
Arrange a first aider and a stocked first aid kit.
Arrange public liability insurance (venues and councils often ask for it).
Secure a site and plants.
Set a per-tree sponsorship price.

On the day

Brief the helpers: who does what, when, and where the cash box and first aid kit are.
Count the float with two people before you open, and write the total down.
First aider on site, and everyone knows where the kit is.
Open a page.
Recruit planters and a corporate team.
Plant on the day.
Send sponsors photos and GPS location.

After

Count the takings in pairs and bank them within a day or two.
Thank donors, sponsors and helpers, by name where they’re happy with that.
Tell supporters what you raised and what it will pay for.

Watch out for

Planting without a plan for releasing and weeding.

Needs written landowner (or council parks or DOC) permission. The organiser should brief volunteers on tool and slope hazards; land managers usually ask for a site safety plan.
