Fix the date and a wet-weather plan.

Collect donated goods in the weeks before.

Brief the helpers: who does what, when, and where the cash box and first aid kit are.
First aider on site, and everyone knows where the kit is.
Run publicity: signs, social media, community notice boards.
Set up floats, EFTPOS and cash handling with two people per tin.
