Before

Get council permission to use the public space.The rules
Get the landowner’s permission in writing.
Ask the council whether you need a permit.The rules
Read the food-safety rules for fundraising sales and plan safe handling.The rules
Check your group’s insurance covers this.
Visit the market on the same weekday first and count the crowd.
Book in writing with site number.
Check council food or trading permits.
Choose stock with many small price points.

On the day

Brief the helpers: who does what, when, and where the cash box and first aid kit are.
Display well; label prices.
Take card on a phone and bring a cash float.
Record sales and the weather to decide on rebooking.

After

Count the takings in pairs and bank them within a day or two.
Thank donors, sponsors and helpers, by name where they’re happy with that.
Tell supporters what you raised and what it will pay for.

Watch out for

One expensive product and a quiet crowd.
Not knowing your break-even.

The market organiser usually holds the market licence. Auckland Council asks fundraising food stalls in public places for a fundraising licence and street-trading approval about four weeks ahead; other councils vary.
