Paid junior coaching clinic checklist: before, on the day and after

Before

Book the date on your own grounds or hall so nothing else clashes.
Write a one-page safety plan: hazards, who is in charge, first aid, what to do if it rains.
Arrange a first aider and a stocked first aid kit.
Check your group’s insurance covers this.
Pick the format and ages: e.g. a half-day clinic for 7-12-year-olds in the holidays or before the season.
Choose coaches: senior players and accredited coaches, or approach a visiting provincial or national player through your regional body.
Police vet everyone who will coach and set coach-to-child ratios.
Plan stations and skills progressions so every child is active, with a game at the end.
Set the price against nearby clinics ($45-60 per day is common) and offer a sibling discount.

On the day

Brief the helpers: who does what, when, and where the cash box and first aid kit are.
Count the float with two people before you open, and write the total down.
First aider on site, and everyone knows where the kit is.
Open online registration with medical and photo consent; cap numbers.
On the day, sign children in and out, keep a first-aid kit and incident log, and take photos for sponsors (with consent).
Follow up with families: invite them to join the club or come back next holidays.

After

Count the takings in pairs and bank them within a day or two.
Thank donors, sponsors and helpers, by name where they’re happy with that.
Tell supporters what you raised and what it will pay for.

Watch out for

Booking a paid star before you know enrolment numbers.
Too few coaches, so children stand in queues and parents do not return.
Unvetted senior players coaching unsupervised.

Police vet all coaches and helpers under your code's child protection policy. Paying a coach makes the club a PCBU under the Health and Safety at Work Act 2015.
