Check the prizes and ticket sales fit the Class 1 or 2 limits, and write down what the money is for.The rules
Write a one-page safety plan: hazards, who is in charge, first aid, what to do if it rains.
Arrange a first aider and a stocked first aid kit.
Check your group’s insurance covers this.
Set the date early in term 3 so families can source calves, lambs or kids in time.
Publish animal rules: NAIT tags and registration, age limits, ASD forms, leading and care classes.
Line up judges (local farmers, vets) and prizes from rural suppliers.
Plan stalls: baking, coffee, sausage sizzle, candy floss, produce and plants, plus paid spots for outside stallholders.
Add children's competitions with entry fees: scarecrows, bird feeders, decorated eggs, vegetables grown (Local Matters).
Roster parents for each stall and for parking and pens.

Brief the helpers: who does what, when, and where the cash box and first aid kit are.
First aider on site, and everyone knows where the kit is.
Set up handwashing at the animal area and keep food stalls away from pens.
Run EFTPOS or tap-to-pay as well as cash floats.
